Simple records can help when a sender needs to ask about a shipment's location or explain a change in parcel condition. Documentation should begin before the goods are handed over, rather than after a problem arises.
Photograph the goods and their final packaging with an identifiable label. Keep the contents list, package count, and proof of handover somewhere easy to find. For group belongings, link the records to the identification numbers used by the coordinator.
If the recipient finds damaged packaging or a different package count, record the visible condition and contact the service provider through its reporting process. Do not discard the packaging before receiving instructions, as it may be needed for an inspection.
Documentation assists clarification but does not automatically determine the outcome. Reporting requirements, deadlines, and coverage terms should be confirmed for the service being used.
